Privacy policy
Effective 21 October 2026 · Version 1.2
The short version
- Recording in the studio happens on your device. Your video is only uploaded if you choose Save to my profile.
- Nobody can see your profile or video unless you switch on your share link, or choose to be visible to employers we've verified. You can switch either off at any time.
- We never score or judge anyone on appearance, voice, accent or any personal characteristic.
- We send text (never video) to our AI provider to write your script and coach you. It isn't used to train AI models.
- You can delete your account and every video yourself, at any time, from your profile page.
- We don't sell your data, show ads or use tracking cookies.
1. Who we are
MyWorkFace (myworkface.com) is a video-first recruiting service run by Qamar Rathore (Rathore Online) in Switzerland. We are the controller of your personal data under the Swiss Federal Act on Data Protection (FADP) and, where it applies to you, the EU General Data Protection Regulation (GDPR).
Please put "MyWorkFace privacy" in the subject line.
2. What we collect
| Data | When | Stored by us? |
|---|---|---|
| Waitlist details | Name, email, whether you're a candidate or employer, and company if you give one, when you join the waitlist. | Yes |
| Account email | When you sign in with an email code. | Yes |
| CV text | When you upload or paste your CV in the studio. The file is read in your browser; only the text is sent to write your script. | No. Used once and not kept. |
| Script and transcript | The script we write for you, and what you said in a take (from speech-to-text or typed by you). | Only if you save a take |
| Video recording | Recorded in your browser. | Only if you save a take |
| Coaching results | Clarity, pacing and energy scores and the feedback summary for a saved take. | Only if you save a take |
| Profile details | Name, headline, location, the role you want, about, skills, highlights and languages. We may suggest these from your CV; you can edit or remove them. | Yes, once you save a take or your profile |
| Employer details | For employers: company, website, your role, what you're hiring for, when you accepted the fair-hiring agreement, your shortlist decisions, private notes, and how long you watched each video before deciding. | Yes |
| Consent record | The date you agreed to us storing your video. | Yes |
| Technical data | IP address and browser details in our host's server logs; a coded (hashed) form of your IP or email to limit abuse. | Briefly (see section 7) |
Please don't put sensitive information you don't want to share, such as health details, in your CV text, video or profile. If you do, you're choosing to include it, and you can remove it at any time.
3. Why we use it, and on what basis
- To run the waitlist and tell you about the launch, based on your consent. Each email lets you unsubscribe.
- To provide the studio: writing your script, recording, coaching and saving takes. This is needed to provide the service you ask for (GDPR Art. 6(1)(b)).
- To store and share your video and profile, based on your explicit consent, which you give with the tick-box before your first save (GDPR Art. 6(1)(a)). You can withdraw it by deleting your takes or account.
- To keep the service secure and prevent abuse, such as limiting sign-in attempts, based on our legitimate interest in a safe service (GDPR Art. 6(1)(f)).
We don't use your data for advertising, and we don't sell it.
4. Fairness and how we use AI
Our AI coach gives feedback only on what you say and how you pace it: clarity, structure, words per minute, filler words and how engaging your wording is. It is instructed never to comment on or score your appearance, voice, accent, age, gender or any other personal characteristic, and we don't analyse your video's images or audio for those things.
Scores are guidance for you. They are not shown on your shared profile, and no automated decision about you is made by MyWorkFace. Profile suggestions drawn from your CV are drafts for you to check and edit.
When you share your profile, the page asks recruiters to assess you on skills and experience only.
Employers must accept our fair-hiring agreement before they see anyone. Their decisions stay locked until they've watched at least 10 seconds of a video, and we show each employer how long they watch before deciding, so snap judgements are visible to them. We don't collect candidates' gender, ethnicity or other personal characteristics for this.
5. Who sees your data
People you choose
Your profile and featured video are private until you switch on your share link. Anyone with an active link can see your profile and featured take. Switching the link off stops access straight away; switching it on again creates a new link.
Verified employers, if you opt in
If you switch on Visible to verified employers, employers we've checked and approved can see your profile and featured take inside MyWorkFace. They never see your email address. If an employer invites you to talk, we email you their message; your address is only shared with them if you reply. Switching visibility off removes you from employers' views straight away, including their shortlists.
Service providers
We use a small number of providers who process data for us under their data processing terms:
- Hostinger hosts the website, database and saved videos, and sends sign-in emails.
- Anthropic (Claude) provides the AI that writes scripts, suggests profile details and coaches takes. It receives text only (CV text, script and transcript), never video. Under Anthropic's API terms, this content isn't retained by default and isn't used to train their models. Content flagged by their automated safety systems may be kept for up to two years.
- Your browser's speech service: the live transcript uses the speech recognition built into your browser. In Chrome and Edge, your browser provider processes the audio to turn it into text. If you prefer, practise without it and type what you said instead.
- Google Fonts and jsDelivr deliver fonts and the tools that read PDF and Word files. They receive your IP address when your browser loads them.
We may disclose data if the law requires it, for example to comply with a court order.
6. Where your data is stored
Saved videos, profiles and account data are stored on Hostinger servers in the United Kingdom, with backups kept in Germany. Both Switzerland and the EU recognise the UK as providing an adequate level of data protection, and Germany is in the EU. Anthropic processes the text it receives in the United States. Where data is transferred outside Switzerland or the European Economic Area to a country without equivalent data protection, we rely on safeguards recognised under the FADP and GDPR, such as the European Commission's Standard Contractual Clauses in our providers' data processing terms.
7. How long we keep it
| Data | Kept for |
|---|---|
| Videos, takes and profile | Until you delete them or your account. Deleting removes the video file from our server straight away. |
| Account email | Until you delete your account. |
| Employer decisions and notes | Until the employer or the candidate deletes their account. |
| Sign-in codes | 10 minutes, or until used. |
| Abuse-prevention records | About an hour. |
| Waitlist details | Until launch, then until you unsubscribe or ask us to delete them. |
| Server logs | As set by our hosting provider, typically a few weeks. |
| CV text | Not stored by us. |
Backups made by our hosting provider may keep deleted data for a short time until they're overwritten.
8. Your rights
Under the FADP and, where it applies, the GDPR, you can:
- See the data we hold about you, and get a copy of it;
- Correct it. You can edit your profile yourself at any time;
- Delete it. Use Delete everything on your profile page, or email us;
- Withdraw consent at any time, without affecting what we did before;
- Object to processing based on our legitimate interests, or ask us to restrict it;
- Take your data with you in a commonly used format.
Email qamar@rathoreonline.com and we'll reply within 30 days. We may ask you to confirm your identity first. You can also complain to the Swiss Federal Data Protection and Information Commissioner (FDPIC) at edoeb.admin.ch, or to the data protection authority in your EU country.
9. Cookies
We use one essential cookie, mwf, to keep you signed in for up to 30 days. It's needed for the service to work, so we don't ask for consent for it. We don't use analytics, advertising or tracking cookies.
10. Security
Our site uses encrypted HTTPS connections. Videos and the database are stored outside the public part of our web server, so they can only be reached through your signed-in account or an active share link. Sign-in uses one-time codes instead of passwords, with limits on attempts. No system is perfectly secure; if a breach puts your rights at high risk, we'll tell you and the relevant authority as the law requires.
11. Age
MyWorkFace is for people aged 16 and over who are looking for work, and for employers. If you're under 16, please don't create an account.
12. Changes to this policy
We'll update this policy as MyWorkFace grows. If a change affects how we use data you've already given us, we'll tell you by email or on the site before it takes effect. The date at the top shows the latest version.
